Maintain the office’s services by organizing CMCO office operations and procedures; controlling correspondences;
designing and managing filing
Responsible for organizing all of the administrative activities that facilitate the smooth running of the office.
Coordinates office management activities and determine matters of top priority and handle accordingly.
Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions
Acts as personal assistant to the CMCO, maintaining his / her appointment calendar, accepting and rejecting requests for meetings based on availability and ensuring appointment conflicts and overlaps are addressed.
Writing reports for assigned executive, chief or departmental director and delivering presentations.
Coordinate committees and task forces; relay directive and instructions to direct reports of CMCO.
Ensures call for meeting are distributed with all necessary attachments. Takes minutes and meeting attendance as requested.
Ensure minutes are finalized, approved and distributed in a timely manner.
Following up on the implementations of meetings resolutions.
Contribution to team effort by accomplishing related results as needed.
Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
Maintain the condition of the office and arranging for necessary repairs.
Performs other work related to areas of responsibility when asked by CMCO.
Creates or modifies required documents using a variety of applications. Prepares and maintains Divisional/Departmental Databases
Supervising, mentoring training of junior staff and delegating assignments to ensure maximum productivity.
Evaluate and manage office staff performance.
Arranges, reviews annual vacation plan for medical staff before taking approval of CMCO, and manages submitted leaves and leave balance of staff.
Review and approves divisions overtime requests based on CMCO pre-approval.
Demonstrates compassionate communication skills while providing support and care to the patients as “the patient is the center of our care”.
QUALIFICATIONS
Education: Bachelors Business Administration or related field
Experience: At least 6 years of relevant experience in healthcare field
